Home » Dimensional Inspection Report Template: Free Excel Download and Workflow

A dimensional inspection report records each drawing characteristic, its source requirement and tolerance, the actual measured result, and the acceptance status. With a ballooned drawing, the characteristic ID links each report row to the requirement on the drawing.

This workbook calculates simple numeric limits. It does not evaluate geometric dimensioning and tolerancing (GD&T) or decide whether a part conforms.

What the workbook contains

  • Inspection Report: job and drawing header fields; characteristic ID, sheet/zone, type, source callout, nominal/tolerance or limits, up to three actuals, method, status, and notes.
  • Instructions: entry guidance, tolerance cases, numeric status formulas, manual evidence rows, and customer and quality management system (QMS) reminders.
  • Example: a synthetic machined plate with dimensions, repeated holes, a geometric control, finish and edge requirements, an attribute check, an explicit-limit example, and one failing measurement.

The Instructions sheet explains how to set landscape orientation, fit the sheet to page width, and repeat the header row when printing. These print settings are not preconfigured. Open the workbook in your target Excel version, review its formulas and print preview, and validate it against your approved procedure before production use.

How balloon numbers link to report rows

Copy the characteristic ID and source location from the reviewed drawing into the report. Preserve the source callout as written, then enter normalized numeric fields only where they apply. This makes it possible to check the original requirement beside the limit, result, and status.

A drawing requirement links to a characteristic ID and then to a report record with actual result, status, method, and evidence.
The ID is the bridge; it is neither the source requirement nor the inspection result.

How to fill out the report

  1. Enter the company, customer, part, drawing number/revision, job, lot or serial, inspector, date, units, and report number.
  2. Copy the characteristic or balloon ID and sheet/zone reference.
  3. Keep the original drawing callout in the source-requirement column.
  4. For a numeric nominal-and-tolerance requirement, enter nominal and upper/lower tolerance values. The workbook calculates the corresponding limits.
  5. For an explicit limit dimension with no nominal, enter the lower and upper limits in the limit cells for that row, as described in the Instructions sheet.
  6. Record one to three results, the instrument or verification method, and any required notes or evidence reference.
  7. Review the status text and reconcile the report against the current controlled drawing before releasing it.

Tolerance examples

Drawing requirement Lower limit Upper limit How the template handles it
25.00 ±0.10 24.90 25.10 Enter nominal and equal positive/negative tolerance
25.00 +0.20 / −0.05 24.95 25.20 Enter separate plus and minus values
10.00 +0.20 / −0.00 10.00 10.20 Enter zero as the negative tolerance
9.95–10.05 9.95 10.05 Enter explicit limits; nominal is not required

Use the drawing’s units and signs. Do not infer a general tolerance from a title block until you verify its scope and exceptions.

Attribute checks and evidence outside the dimensional table

“Deburr,” coating certification, material identification, or visual requirements do not always produce a numeric actual. The template separates an automatic numeric status from a manual evidence status so the user can record “Verified,” “Fail,” or another approved term without pretending a text row passed a numeric limit.

A coating or special-process requirement may belong in a certificate or process record. Enter the evidence reference and follow the required quality record format rather than converting it to a numeric measurement.

Dimensional report vs. first article inspection report

A dimensional report can record measurements and related evidence. A first article inspection (FAI) report (FAIR) may require broader part, material, process, design-characteristic, and accountability information. This workbook is a generic dimensional inspection report template, not an official AS9102 form and not a substitute for forms or records required by your customer. See the AS9102 and ballooned-drawing explanation and consult the current standard and customer instructions.

Using the workbook with drawing software

BalloonForge exports configurable Excel reports and supports mapping fields into existing templates. This workbook is a generic starting point; we have not tested a direct import workflow for this exact file. Confirm the column mapping and verify the exported report before using it for production inspection. Frequently asked questions

Is this an AS9102 form?

No. It is a generic dimensional inspection report template. Use the official/customer documents required for your FAI.

See also  How to Balloon Drawing Notes, General Tolerances, and Surface-Finish Requirements

Does the workbook calculate GD&T results?

No. It preserves a text requirement and a place for the appropriate result or evidence; a qualified process must determine and evaluate the geometric requirement.

What happens if no measurement is entered?

The numeric status remains “Awaiting data.” Blank actual cells do not produce a false PASS.

Can I use the file with my own tolerance rules?

Yes, adapt the workbook to your approved procedure and customer requirements. Preserve the original drawing callout and document any calculation or manual status rule you change.
